International Conference Press Guidelines

Thank you for your interest in the ATS International Conference, held each year in May. Below are the policies and guidelines for news media covering the conference, as well as public relations professionals who are interested in our onsite press operations.

ATS Press Office

The ATS Press Office serves as a work place for the press. Only working journalists with appropriate credentials can register as press. Press credentials are available to writers of general health and medical press, producers, photo journalists, videographers and web-based media. Press badges will be distributed at the conference to all registered journalists. The press office will feature work stations with computers, notebook hook-ups, and Internet access.

ATS news releases, and details on press briefings will be available. Staff will arrange for interviews with members on-site, upon request.

Press Registration

  • To register, journalists must present media identification or a business card issued by a recognized news organization or publication.
  • Freelance journalists must present a letter of assignment on letterhead from a recognized news organization or publication, a business card establishing themselves as recognized news writers, or proof of membership in the National Association of Science Writers, American Medical Writers Association, or equivalent international science or medical writing association.

Press Registration at the ATS International Conference is Extended to:

Working journalists on assignment, including writers of the general health and medical press, web-based media, videographers, producers, photo journalists and news staff from journals.

Press Registration at the ATS International Conference is NOT Extended to:

  • Non-news editorial staff of publications
  • Freelance writers not on assignment from a media outlet
  • Communications/public relations staff persons from (or representing) a for-profit company
  • Medical education communication companies (MECCs), or their affiliated organizations are welcome to attend the conference
  • Organizations that primarily produce audio/video continuing education resources
  • Exhibitors and representatives of industry, marketing, advertising, and communications/public relations firms or companies producing print or electronic materials for these purposes.

Press Guidelines

  • Individuals who are not registered as press may not use the press room or attend press events at any time, with the exception of researchers approved by press room staff who are meeting with credentialed journalists.
  • Media events or news briefings other than those organized by the ATS are not permitted in any meeting areas, including occupied hotels, for the duration of the ATS International Conference.
  • No outside marketing materials or press releases are permitted in the press room. An area immediately outside the press room will be designated for non-ATS news releases (e.g., those provided by organizations and exhibitors). Please note that:
    • These press materials will not be reviewed or endorsed by the ATS, and will be so designated.
    • These press materials must specifically pertain to research being presented at this conference.
  • The subjects of press releases and press conferences are determined by ATS staff in consultation with ATS members involved in International Conference programming. All news releases regarding scientific presentations made during the ATS conference must indicate that they are embargoed for release at the date/time the data are presented at the conference or news briefing (if applicable).

Guidelines and CME

The use of content from the ATS Conference to create CME activities is not permitted. Generic highlight videos and summaries cannot be represented as an official ATS activity. The use of our registered trademarks and reference to the ATS 2020 International Conference are not permitted.  Please see the rules around use of ATS graphic design, below:

Graphic Design Rules

Advertisers, exhibitors supporters, press and outside organizations cannot:
  • Use the ATS logo or tagline
  • Use the ATS [2020] logo
  • Use the ATS blue (CMYK: 100, 90, 10, 0 — set up as Spot)
  • Use the ATS [2020] artwork (as treated by ATS [2020])
  • Use the ATS 2020 colors:
    • #5c3b55 [CMYK- 62, 79, 43, 31] (and its ‘family’ – i.e. similar colors in the PMS and/or Web-safe palettes)
    • #b50065 [CMYK- 26.76,100,34.38, 3.75] (and its ‘family’ – i.e. similar colors in the PMS and/or Web-safe palettes)
    • #ffde85 [CMYK- 1, 11, 57, 0] (and its ‘family’ – i.e. similar colors in the MS and/or Web-safe palettes)
    • ATS Blue (see above)

Credentialed press who fail to comply with these guidelines will forfeit their press credentials and be asked to leave the Annual Meeting. This may impact your registration at future ATS meetings. ATS reserves the right to deny or terminate press privileges to credentialed press [or non-profit public relations staff] at any time prior to or during the meeting.
